Inside TEC’s National Webinar with Xap Technologies

Leadership in early childhood education carries significant responsibility.

Approved Providers and Nominated Supervisors hold responsibility for the safety of children and the wellbeing of educators and the trust of families. These responsibilities frequently converge during moments of operational pressure or unexpected incidents. Situations that involve serious incidents require leaders to respond quickly while maintaining regulatory compliance and clear communication with multiple stakeholders.

The reality is that many sector leaders receive limited preparation for leading through high pressure events. Regulatory knowledge is essential. However effective crisis leadership also requires structured decision making and confidence under pressure.

This context formed the foundation for Project Catalyst which is a national webinar delivered in collaboration with Xap Technologies.

The Challenge

Early childhood services across Australia demonstrate strong capability in delivering high quality education and care. Serious incidents nevertheless occur in any complex service environment.

Examples may include a missing child and a serious injury and a disclosure involving a staff member or a complaint that escalates rapidly. Each of these scenarios requires calm leadership and structured processes and careful communication.

Sector leaders frequently express a similar concern. Regulatory frameworks provide clear expectations regarding reporting obligations and documentation. The challenge arises when leaders must respond in real time while managing the safety of children and the wellbeing of educators and the expectations of families.

This insight highlights a critical gap within the sector. Practical leadership frameworks are required to help services move from reactive incident management towards confident and structured crisis leadership.

The Opportunity

The Education Collective partnered with Xap Technologies which is a recognised provider of early childhood management software to deliver a national webinar for their network of Approved Providers and Nominated Supervisors.

The objective of this collaboration was to provide sector leaders with practical strategies that strengthen readiness and leadership capability during serious incidents.

The webinar titled Leading Through Crisis From Readiness to Resilience explores leadership decisions that shape service responses during complex situations.

The TEC Approach

The session begins with a scenario rather than a regulatory framework.

Participants are introduced to a simulated phone call between an educator and the Nominated Supervisor. The educator reports an unexpected and alarming situation.

“Jen there is a shark in the pool.”

The scenario which is based on a real event immediately places participants into the mindset of a leader responding to an unfolding incident.

This approach allows participants to reflect on their immediate decision making processes. Discussion then moves towards the systems and leadership behaviours that enable services to respond effectively during critical moments.

Key areas explored within the session include

  • Operational systems that support incident readiness
  • Clear role definition and communication during critical events
  • Approaches to supporting educators and families and regulatory authorities during challenging situations

Real world scenarios combined with structured leadership frameworks support participants to move beyond theoretical discussion towards practical application.

The Outcome

The collaboration with Xap enabled TEC to present this work to a national audience of early childhood leaders.

Participants engaged strongly with the content and many recognised the importance of strengthening leadership readiness within their own services. The webinar also created opportunities for further discussion regarding systems that support educators and leaders during complex operational situations.

What Comes Next

Project Catalyst represents more than a single learning event for TEC.

The insights and leadership frameworks presented during the webinar are now informing the development of additional professional learning resources for the sector.
